Role overview:
Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities and supporting the finance manager.
- Organize and schedule appointments.
- Schedule meetings and take detailed minutes.
- Assist in the preparation of regularly scheduled reports such as but not limited to weekly finance and commission reports.
- Develop and maintain a filing system.
- Submit and reconcile expense reports.
- Liaise with executive to handle requests and queries from senior managers.
- Managing email, Google Cal, Shared Drives, CEO's agenda.
- Support functions such as invoicing, receivables, payables and weekly reporting on commissions etc. and work closely with the finance manager.
Key Skills & Traits:
- Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant.
- Knowledge in bookkeeping, invoicing and balance sheet.
- Knowledge of office management systems and procedures.
- Proficiency in Google tools such as drive, calendar, gmail, word, sheet and Zoho CRM system.
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem solving skills.
- Excellent English written and verbal communication skills.
- Strong organizational skills with the ability to multi-task.
Work Hours:
A 20-hour workweek. Hours may increase depending on the need of the business.
